A facilitator guide template turns an agenda into instructions someone can actually deliver. This is especially useful when more than one facilitator may run the same workshop or when the session will be repeated.
What belongs in a facilitator guide
For each agenda block, include the time, activity title, purpose, facilitator actions, participant instructions, materials and expected output. Add transition notes where the next activity depends on the previous one.
Separate the public and private versions
Participants usually need a clean agenda. Facilitators need the backstage version—prompts, timings, reminders and contingency notes. Maintaining both separately creates version-control problems, so WorkshopPack generates the participant agenda and facilitator run sheet from the same schedule.
Design for another facilitator
Write the guide so a competent colleague could pick it up and understand the flow. Replace vague notes such as “discussion” with concrete instructions: how to introduce the exercise, how long participants work, how answers are captured and how the debrief closes.
Use a run sheet on the day
The free facilitator run sheet generator creates a concise operational version for the workshop itself.
